How to reduce stress at the car hire desk

Picking up a rental car, especially if it is the first time, can be a nerve-wracking experience. Will they be expecting you? Will you have the right paperwork? Is your driving licence ok?
We talk through what you can expect when you get to the desk and what you can do to ease the stress!
Read through your booking details
When you book through Clarify Car Hire, we send you a reservation voucher which details all the information you need for your pick up. This is the same information that you would have read when you chose your rental car but we recommend reading through to refresh your memory as soon as you have booked. By doing this well in advance of your trip, it will give you plenty of time to put together any documents you need or to ask us about anything you are unsure of.
Driving licence
Make sure your driving licence is in date. You may be surprised how many people forget to renew their licence! You will also need to have your physical licence – digital licences and photocopies are not accepted. If you have any additional drivers, they should check their licences too. If you are required to have an IDP (International Drivers Permit), you will need to apply for this at a PayPoint store
DVLA check code
If your booking states that a DVLA check code is required then you can get this through the government’s Share Your Licence page.. It is a free service and the code is valid for 21 days. The check code is normally requested if you are hiring within the UK or Ireland and are a UK licence holder.
Your payment card
Your booking voucher will detail which payment cards will be accepted by your chosen rental company. The payment card must be in the name of the lead driver (the person signing for the car). One of the reasons for reading through your booking details as soon as you book is to ensure that you have a valid form of payment. Not all companies will accept a debit card for car hire. The majority of rental companies will not accept prepaid cards such as Revolut and all companies will expect the physical payment card. You cannot pay using your mobile phone or smartwatch.
Available funds
On your Clarify Car Hire booking voucher it will show information similar to the example below:
The Total Reservation Deposit is the first portion of your Vehicle Hire Charge. You will have already paid this to reserve the car but you will need enough funds when you reach the desk to cover the following:
Total Pay at Desk – this is the remainder of your Vehicle Hire Charge plus any extras you have chosen to add to your booking.
Security Deposit – this is the amount the rental company will pre-authorise on a credit card (or possibly take from your account if you use a debit card) to cover any expenses you incur during your rental. This may be a different amount to the excess. You are still liable for the excess amount if there is any damage or theft but they will only pre authorise the security deposit.
Fuel Deposit – not all rental companies ask for a fuel deposit but, if there is one, it will be pre-authorised or charged in addition to any security deposit.
Additional requirements
Some companies may ask for additional identification or for you to pass a credit check when you get to the rental desk. These extra documents are sometimes requested when you use a debit card, when you are renting in your home country or if you are a walk-in customer at an airport location (in other words you have not arrived by plane). This identification could include a recent utility bill or a bank statement. Do read your Clarify Car Hire voucher carefully so that you are aware of any additional requirements for your rental.
What do you need at the car hire desk?
All drivers – both the lead driver and any additional drivers – will need to be present to pick up the car and have their valid licences with them
An accepted payment card with enough available funds
Any additional required documents as listed on your voucher
